Below you will find tutorials and key dates you need to know in preparation for your scholarship review meetings.

Please complete and submit the Confidentiality and Conflict of Interest form below via DocuSign before your first scholarship committee meeting. This form is required to ensure that the scholarship review process is a positive experience for you and our students.

 

Training Sessions

We will host training workshops for each academic college through a variety of methods - virtual, socially distanced face-to-face and pre-recorded - as we approach the start of your committee involvement.

In early February, our office will contact you with more information and schedule your preferred training session. A new program, ScholarshipUniverse, will be implemented, and training will be required for all committee members.

Meeting Expectations

It is expected that all committee members be in attendance for their scholarship committee review meetings and be proactive in the application review process once scholarship applications close on April 1. No later than April 26, 2021, committee chairs should submit their committee’s selected students, including five alternates if the primary selected student declines the offer, to the Office of Scholarships and Financial Aid for final review.

The committee chair will be responsible for leading the meeting(s) and appointing an individual to keep a written record of the meeting minutes. Please submit your meeting minutes to the Office of Scholarships and Financial Aid’s scholarship team along with the selected scholarship recipients. For auditing purposes, our office will retain all written records of committee meetings.

Adherence to the scholarship eligibility criteria outlined by scholarship donors is a must. It is expected that each committee member will have a voice in the discussion and selection of eligible students, and we ask for your respect and cooperation. Donors may not be present in the room, physically or virtually, while committee members review scholarship applications. If your committee is unable to meet at the assigned committee meeting time, please contact the scholarship team via email as a courtesy and for assistance with rescheduling.

Committee Timeline

  • The Office of Scholarships and Financial Aid will contact committee chairs by January 15 to confirm their service or, if needed, receive contact information for new committee chairs. Committee chairs will contact their committee members by January 22 to ensure they are willing to serve and are aware of committee expectations and timeline.
  • Training sessions will be offered frequently for committee members. Starting February 1, the Office of Scholarships and Financial Aid will email all committee chairs and members with a sign-up link for training. Since many scholarships are limited to students from a specific academic college at ÈâÈ⴫ý, training sessions will be offered by those academic colleges. All committee members will be required to complete training by February 28.
  • Beginning March 2, committees meet to review individual scholarship applications. Thanks to the ScholarshipUniverse program, we are receiving an unprecedented number of applications, and we want to ensure they are all reviewed thoroughly and fairly. Therefore, it is imperative that your committee be proactive in reviewing applications starting in early March.

    Committee chairs should submit their committee’s selected students, including five alternates if the primary selected student declines the offer, to the Office of Scholarships and Financial Aid for final review no later than April 26, 2021.   • The Office of Scholarships and Financial Aid will offer scholarship awards to the students selected by the committees. Students will be prompted to accept or decline their award through ScholarshipUniverse.  Students who have been offered a scholarship must accept or decline their award(s) by July 1. If an award is declined, the next student on the list of recipients will be offered the scholarship until all available funds are depleted.
  • On November 1, the application for KSU scholarships will open to students for the upcoming academic year.
