Faculty and Staff Copier Services
Beginning in July 1, 2022 (FY23), Copier Services moved to a decentralized funding
model. Departments that choose to have their Ricoh machine removed can enter a service
ticket through the . Departments that keep their leased machine(s) will be responsible for the annual
lease cost and other supplies (e.g., paper, staple cartridges).

Faculty and staff should load KCash to their Talon Card to pay for personal copying and printing at a convenience copier located around campus. Departmentally leased copiers should never be used for personal printing or copying.

When do the changes to the program structure for faculty/staff copy/print machines
take effect?

Departments will continue to be billed monthly for copy/print charges and will be
billed annually for the cost of leasing the Ricoh machines at the beginning of each
fiscal year.

What resources are available to support the impact of lease const for a department?
Departments have several options available to them. KSU offers resources to eliminate
printing entirely, such as DocuSign. Departments may also choose to utilize our Campus Print Shop for high-volume printing. Otherwise, a department may decide to purchase a device
that best meets its needs that may be available at a lower cost. To do so, they will
need to submit a request through the . Alternatively, faculty and staff members may use their Talon Card at one of the
convenience copiers on either campus to charge their departmental speed chart for
University copy or print jobs. |

Charging Prints or Copes to Your Department on a Ricoh Machine
If you have one default departmental cost center, you will no longer be prompted to select the cost center when tapping your card on the printer. The printer will automatically charge your departmental cost center. If you have access to multiple cost centers, you will still be able to select which cost center to charge for your printing. |

Scan to Email
Copier Services and University Information Technology Services are pleased to announce
the release of Scan to Email. This new function is coming to Ricoh printers across
campus. Our goal is to have this additional feature installed on all Faculty/Staff
printers by the end of January 2021.
Scan to Email allows users to scan a document, and instead of it going directly to
a network drive, it is sent to a designated email address. We encourage users to adopt
the easy-to-use Scan to Email tool. This new feature allows users more flexibility
for reviewing their scanned documents by letting them determine where and on what
device they retrieve them.

How long can I access my scanned document?
Scanned files are accessible for up to 30 days within the email message sent to the
email address entered. If you would like to retain the file, please download it and
save it to an appropriate and secure location such as OneDrive. |

Can I email a scanned document to someone outside KSU?
Yes, you can add addresses for people outside of KSU. After you tap "Scan to Email,” tap "Manual Entry." Then type in the full email address and then tap "Okay." |

Can I email a scanned document to multiple people?
Yes, you can continue to search for addresses and add people in the TO, CC, or BCC
field as needed. |

The Scan to Drive feature will continue to be available through the Spring 2021 semester. |

Can I use Scan to Email for confidential documents?
Please continue using the Scan to Drive option for data defined as confidential rather
than the Scan to Email option. More information will be distributed as we move to
sunset Scan to Drive. |
Recycle Your Ink and Toner Cartridges
makes it easy to return your used ink and toner cartridges.
- When you receive a new ink or toner cartridge keep the prepaid label and box that
the manufacturer provides.
- When you are ready to recycle your cartridges, place your used cartridge in the empty
box, seal the box, and place the prepaid shipping label on the box.
- Put the sealed, labeled box with your outgoing mail for Campus Postal to pick up.
No need to e-mail, enter work orders or make phone calls; just leave your used cartridges with the outgoing mail. Don’t have a box or shipping label? Campus Postal will still pick up cartridges left with your outgoing mail.
